Packaged Pumps Systems Ltd. is known as the ‘Controller’ of the personal data you provide to us (collectively referred to as “Packaged Pumps Systems”, “we”, “us” or “our” in this privacy policy).
What information we collect about you…
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed, or data that relates to a company rather than to an individual.
We may collect, use, store and transfer different kinds of personal data about you as follows:
• Identity data such as your name, marital status, title, gender and date of birth;
• Contact data such as your address, telephone number and email address;
• Financial data such as your bank account and payment card details;
• Transaction data such as orders you have placed with us or work you have instructed us to undertake on your behalf;
• Technical data including your IP address, browser type and version, time zone setting and location, operating system and platform and other technology of devices you use to access our website;
• Profile data including purchases or orders made by you, your interests, preferences, and feedback;
• Usage data includes information about how you use our website, products and services;
• Marketing and communications data such as your disclosed preferences in receiving marketing from us to include any preferred communication preferences e.g. by mail, email or by any other means.
This data is collected about you through direct interactions when you sign up to one of our products, request a quotation or place an order for products or services. Bank account details may be collected from you when a payment is made over the telephone or through an online portal but will not be stored by us. Bank account details are only stored when signing up to a Direct Debit Service Plan with us. When signing up to one of our Wi-Fi service plans, the data we collect through the SEU card to the SideWinder includes no personal data and is limited to operational/performance data used to determine the overall health of the installed equipment at your property. Website usage information is collected using cookies.
We do not collect any special categories of personal data about you. This includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. Nor do we collect any information about criminal convictions and offences.
Why we need your data…
We need your personal data to provide you with any services you have subscribed to, to allow the management of your account and customer file, to provide quotations, products’ specifications, technical information, financial documents such as invoices, credit notes or receipts of payment, marketing materials and to offer a warranty on our products, in line with and in proportionality to the overall contract we are obliged to satisfy for your benefit.
If you agree to receive marketing, we will use your personal data to offer products and services we think you may be interested in. If you consent to receive marketing, you may also opt-out later. You have the right at any time to stop us from contacting you for marketing purposes.
Packaged Pumps Systems Ltd. will not share your information for marketing purposes outside the organisation. We will not disclose any personal information to third parties except to prevent fraud, or if required to do so by law. In processing your order, we may send your details to and use information from credit reference agencies and fraud prevention agencies. What we do with your data & how we protect it…
We will only use your personal data for the purpose for which we collected it and when the law allows us to, which includes the following:
• To provide you with a quotation;
• To register you as a customer;
• To perform the contract and process the order that you have placed with us, or to
perform services on your behalf;
• To manage your relationship with us;
• To record warranties for products supplied by us;
• To improve our website, products/services, marketing or customer relationships;
• Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests;
• Where we need to comply with a legal obligation.
All the personal data we store and process is either processed by our staff in the UK or by an approved 3rd party data processor on behalf of us where data processing contracts are in place. We do not allow them to use this information for their own purposes, and they must follow the data security provisions outlined in our contract with them and are subject to a duty of confidentiality. For the purposes of IT hosting and maintenance, some of this stored information is located on servers within the European Union. We have a Data Protection regime in place to oversee the effective and secure processing of your personal data. We collect and store personal data, account details and financial information on secure encrypted servers and use encrypted transmission whenever we can.
Our data security complies with the Cyber Essentials scheme which is backed by the National Cyber Security Centre. This means that we have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
How long we keep your data…
We will not keep your personal information for longer than necessary for our business purposes or for legal requirements. By law, we have to keep personal data about our customers for 6 years from the end of your contract with us. Personal data we use for quotations and orders will be stored on our systems for a period of 6 years from the date of the original quotation. After these time frames, the stored data will be securely deleted.
In some circumstances you can ask us to delete your data or we can anonymise your personal data so that it can no longer be associated with you for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.
Your personal data we use for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information. We will only contact you for service bookings for as long as the contract between you and Packaged Pumps Systems Ltd. Lasts.
Access and control to your personal information…
You have the right to request a copy of the information we hold about you. If you would like a copy of some or of all your personal data, please email marketing@ppspumps.com or write to us at: Packaged Pumps Systems Ltd., Unit 11 Haslemere Industrial Estate, Pig Lane, Bishop’s Stortford, Herts. You can request this information at any time. We will require proof of identification to ensure we do not give out your information to the wrong people. Under the GDPR legislation, we will not charge for this service, but we will charge a reasonable fee when a request is manifestly unfounded or excessive, or if further copies of the same information are required.
Alternatively, we could refuse to comply with your request in these circumstances. We want to make sure that any personal information we hold about you is up to date. If you think your personal information is inaccurate or incorrect, you can ask us to correct or remove/withdraw it at no charge to you. Please contact our Service Department on 0330 9000 999.
You have the right to total erasure of your personal data. However, if you do make such a request or you refuse to provide the personal data we have requested we may not be able to perform the contract we have or are trying to enter into with you to provide you with goods or services. If so, we may have to cancel a product or service you have with us.
Cookies…
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of our website and to compile statistics on the website activity. You can set your browser to not accept cookies and you can remove cookies from your browser, however, some of our website features may not function as a result of this.

Your rights…
If you wish to raise a complaint on how we have handled your personal data, you can email info@ppspumps.com to have the matter investigated.
If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law, you can complain to the Information Commissioner’s Office (ICO). We would, however, appreciate the chance to deal with your concerns in the first instance before you approach the ICO.
